Role summary

The Trainee Case Manager role is designed for applicants who may not have professional genealogy experience but are keen for a new challenge. All training will be provided to progress you towards a full Case Manager role. You will utilise a variety of methods and tools available to you to locate beneficiaries and then, depending on which department you join, begin to manage your own cases and work with Private Client solicitors or Public Sector bodies across the UK.

As one of the country’s largest genealogists it is important that you have a keen eye for detail, and ideally an active interest in genealogy. It is also a requirement that you are able to retain and recall vast amounts of information as well as have impeccable organisation skills.

 Responsibilities & duties

  • Researching family trees, including searching through genealogical records and other documentation. This can involve searching online or manual records as well as visiting record centres and archives to view original records
  • Record research findings with neat, clear handwriting in the correct format.
  • Interviewing family members and other relevant persons about their family history and / or knowledge of a family tree
  • Ordering and reviewing certificates and other relevant documents to prove or progresses the research
  • Updating solicitors and beneficiaries
  • Ensuring the in-house Case Management system is kept up to date with case progression.
  • Prepare interim and final reports, including the family tree, letters, family history reports and mailing lists.
  • Accurately write reports for solicitors in the prescribed format
  • Work to deadlines prioritising workload accordingly.

The ideal candidate will have/be:

  • Degree educated
  • Ultra-organised and possess strong communication skills including a good telephone manner
  • Basic knowledge of Microsoft systems
  • Able to manage large workloads working to tight deadlines.

Hours: Full-time with option to work 36 hours over a 4 or 5-day week

Role Summary:

Due to continued growth, we are looking for a Case Manager with genealogy experience to join our Public Sector team.

The successful candidate will be working closely with NHS Trusts, hospitals, coroners, councils, and police departments across the UK. to provide critical services in often sensitive and time-pressured cases. You’ll be researching family histories, tracing next of kin, and delivering accurate, timely genealogical reports. You’ll manage a caseload of active files—often involving deceased individuals with no known next of kin—requiring diligence, sensitivity, and a passion for detailed research.

Responsibilities & Duties:

  • You will be required to work to deadlines and prioritise your workload accordingly
  • You will research genealogy using all authorised resources including external research from approved databases
  • You will record your findings, accurately, and in the prescribed format for local authorities
  • You will order birth, death, and marriage certificates as well as other relevant documents for research purposes
  • You will take/make calls to confirm research or rule out leads, this may include house visits where necessary
  • You will respond to all correspondence within a timely manner
  • You must maintain our in-house database as well as maintain your case files with case progression
  • You must follow our standards and processes for organising your cases, e.g.: formatted emails, formatted document folders
  • You may be required to attend conference & training days

Other:

  • Occasional travel
  • To undertake any ad hoc duties for the Managing Director and the Head of Public Sector
  • To observe and comply with all our company policies & procedures always

The ideal candidate will have:

  • Genealogy & case management experience from a similar previous role
  • Strong attention to detail, with excellent communication & organisational skills
  • Strong IT skills, including typing with accuracy
  • Excellent written and verbal skills – including neat/clear handwriting
  • You must be able to retain and recall vast amounts of information
  • Ideally you would have a full driving licence with access to a vehicle or be learning to drive
  • Minimum education of GCSEs Grade A to C (or equivalent) including English & Maths but ideally A Levels/degree educated
